Rolai, LLC ("Company", "we", "us", or "our") operates our website located at https://rolai.com/ (the “Site”), and our proprietary Rolai AI Platform software application made available through the Site (the “Service,” and together with the Site, collectively, the “Services”).

This Privacy Policy explains how we collect, use, safeguard, and disclose information that results from your use of the Services. By using the Services, you agree to the collection and use of information in accordance with this Privacy Policy. Unless otherwise defined in this Privacy Policy, the terms used herein have the same meanings as in our Terms and Conditions.

This Privacy Policy does not apply to content that we process on behalf of customers of our business and higher education offerings. Our use of that data is governed by our customer agreements covering access to and use of those offerings.

Service Providers

Each provider is bound by contractual obligations to maintain confidentiality and use data only for the purpose of providing their services to Rolai.

Examples of these Service Providers include (but are not limited to):

• Microsoft Azure – provides cloud hosting, compute, and data storage infrastructure for our Services.

• Office365 (Microsoft 365) – serves as an identity provider and productivity suite for Rolai’s internal operations.

• Azure DevOps – used for version control, deployment management, and continuous integration.

• OpenAI – provides large language model and AI capabilities that power certain Rolai features.

• Google Gemini – supports generative AI and productivity-enhancing functions.

• Composio – serves as an AI-driven tools integration platform that connects Rolai with external applications.

• Integration.app – provides infrastructure for connecting Rolai to external software systems and APIs.

• HubSpot – used for marketing automation, customer relationship management, and communication with users.

• LinkedIn Sales Navigator and ZoomInfo – assist our sales and customer success teams with business-to-business outreach and relationship development.

• Gusto – serves as Rolai’s HR and payroll management provider.

• Figma – supports our product and user interface design operations.

• Sonar – provides code vulnerability scanning and security analysis for our software.

• monday.com – provides project and workflow management functionality integrated with Rolai’s platform.

We also use Mixpanel for analytics and GitHub for code repository management and CI/CD operations. These services collect diagnostic data that helps us analyze performance, usage, and functionality improvements.

Our Service Providers are prohibited from using your personal data for their own marketing purposes and are required to protect it in accordance with this Privacy Policy.

Retention Policy and Data Deletion

We are committed to retaining your data only as long as necessary for legitimate business, operational, or legal purposes.

1. Retention Duration
   Rolai retains personal data only as long as needed to fulfill the purposes outlined in this Privacy Policy, to comply with legal obligations, resolve disputes, and enforce agreements. Usage Data may be retained longer when used for analytics or security purposes.

2. End-User Data Deletion
   End users may request deletion of their personal or integration-related data at any time by contacting support@rolai.com. Upon verification, Rolai will permanently delete the requested data within a reasonable timeframe unless retention is required by law. Once deleted, the data cannot be recovered.

3. Third-Party Integration Data
   For integrations such as monday.com, HubSpot, and Integration.app, Rolai may store metadata necessary to maintain service continuity. After uninstalling or disconnecting these integrations, users are responsible for manually deleting or requesting the deletion of any residual integration-related data stored within Rolai.

   • After the Rolai app is uninstalled from monday.com, users must manually delete any integration-related data stored on Rolai.

   • Requests for deletion may be submitted to support@rolai.com.

   • When using our monday.com integration, users can connect Rolai to their monday.com account to synchronize tasks and workflows. After uninstalling the app from monday.com, certain integration-related data may remain stored on Rolai systems. Users must manually delete this data or request deletion through Rolai by contacting support@rolai.com.

Security of Data

We employ encryption, secure socket layers (SSL/TLS), access controls, and firewalls to protect your personal information. We restrict access to personal data to authorized employees and contractors who require it to perform their job functions. While we use industry-standard safeguards, no method of transmission or storage is completely secure, and you acknowledge and accept this risk by using our Services.

International Users

Rolai is based in the United States. By using our Services, you consent to the transfer and storage of your information in the United States and other jurisdictions where data protection laws may differ from those in your region.

Changes to This Policy

We may update this Privacy Policy from time to time. All updates will be posted at https://rolai.com/termsandconditions. Material changes will be communicated via email or prominent notice before they take effect.
